Global Payroll and Benefits Administrator

Reports to: VP, Human Resources

Position summary

This role will be responsible for administering and managing our global payroll programs.  Including but not limited to supporting the evaluation of the current processes, guidelines and procedures and recommend program revisions and enhancements which are consistent with compensation compliance, trends and company objectives. This position is also responsible for ensuring thorough and accurate payroll processing and making sure programs are consistently administered and in compliance with company policies and global compensation regulations.

Essential functions and responsibilities

Payroll / HRIS

  • Global Payroll and HRIS expert, lead point of contact for employees, HR and management.
  • Manage global payroll administration and HRIS maintenance
  • Manage accurate payroll administration for global leave programs
  • Audit and ensure consistent employee data and document collection, privacy protection and employee file management
  • Responsible for all special transactions – such as bonuses, garnishments, student loan deductions, retroactive pay, etc.
  • Ensure proper processing of employee transactions/changes including transfers, terminations, exit interviews, compensation/benefits changes, etc.
  • Document procedures to streamline processes and ensure compliance with regulatory requirements
  • Keep apprised of payroll laws and regulations in order to ensure company compliance
  • Proactively manage and partner with HR and finance on employee escalations to bring them to swift resolution

Benefits

  • Administer, track, document and manage all aspects of the global benefits programs
  • Manage all employee escalations pertaining to NA benefits and partner with other countries if escalations arise
  • Anticipate and effectively manage plan renewals, program changes, delivery of enrollment system requirements, vendor contract management, and compliance requirements to ensure program offerings and delivery efficiently meets the needs of the organization.
  • Project manage global annual benefits renewal and enrollment processes
  • Manage ongoing third-party relationships and invoicing for global programs including consultants, brokers, benefits administrators, and carriers.
  • Oversee domestic and global vendor network including insurance brokerage, third party administrators and communication support.
  • Conduct research and interpret benefits plan data to determine market appropriateness, cost efficiency, competitiveness, and compliance objectives are being met to support the business.
  • Manage country-specific bench-marking efforts to determine appropriate benefits plans and services in the regions we operate in.
  • Ensure benefits programs and administration are in compliance with applicable laws.
  • Maintain knowledge of government regulations, program trends, and practices among similar organizations.
  • Maintain a working knowledge of international, federal, and state legislation influencing benefits and broader rewards efforts and implications.

Reporting / Compliance

  • Manage reporting and compliance needs
  • Identify and execute controls for critical risk/compliance issues including training, practices, programs, and guidelines
  • Oversee all taxes and other government withholdings are properly handled and reported on a timely basis
  • Lead, plan, prepare and support audit inquiries
  • Manage Worker’s Compensation related reporting including OSHA 300A reporting by developing and following posting procedures/guidelines
  • Projects as assigned

Knowledge

  • Bachelor’s degree in field of Human Resources preferred, Business Administration or related field strongly preferred, equivalent human resource experience and relative training will be considered. PHR, SPHR, or similar human resource certification(s) a plus
  • 4+ years of Human Resources experience to include benefits, payroll, and HRIS administration experience
  • Experience managing compliance requirements in US, UK, Germany, France and India

Experience

  • Advanced level of proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook
  • Detail oriented with both analytical and creative problem-solving capabilities to anticipate and lead fact-based decisions and solutions.
  • Demonstrated flexibility to adapt and contribute in ambiguous situations that require tact, judgment and minimal supervision.
  • Excellent customer service skills
  • Accuracy, excellent organizational skills, and the ability to handle multiple projects
  • Global payroll and benefits experience a plus
  • Administration of Blue Marble a plus
